We ALWAYS recommend backing up the hosted email environment. Whether you use Microsoft 365, Google Workspace or something different, a backup is essential. These systems improve uptime but neither provides redundancy or backups for the data stored in the environment. At AccuNet, we’ve restored quite a bit of data from Microsoft 365 for clients – including deleted mailboxes but, more often, deleted SharePoint site or OneDrive files.

So, be sure to keep that in mind! Here are the two hosted email systems that we recommend – and a few of the reasons why we like them.

  1. Microsoft 365: Microsoft is a popular option for businesses – because it has key productivity features, including Outlook mail and calendars. OneDrive is also a great file storage options. It’s also easy to manage, schedule and customize. It’s competitive price wise with Google and it offers video conference options.
  2. Google Workspace: This is a popular option, with more than 1 billion users globally. It has a lot of positives, including that most people know how to use it so there’s little training necessary. It also has good security and MFA as potions. And it can be integrated into other productivity apps like Drive, Calendar and Docs. It’s also affordable and has cloud storage.

It’s important to note that there are many other hosted email platforms that you may have come across or use currently. We exclusively deploy Microsoft 365 (which is our preferred option) and support Google Workspace deployments.

So, as you look at hosted email systems, it’s a good idea to not only compare costs but look at privacy, security and data guidelines of the systems you are considering. Keep in mind that you also want it to be user friendly – and customizable. Automation features also could make sense for your business – and make sure it has enough storage space!
